InterCSity - Leiden to Gent

Heyo Gent CS community!

Erik Renes from the Leiden group has given me these possible weekends for the sequel of the InterCSity Couchexchange:
12 - 14 April
3 - 5 May
10 - 12 May

I'm a proponent to choose the earliest weekend that is possible for us. Does the weekend of the 12th till the 14th of April fit everyone? I promised the Leiden group to have an answer in the weekend. Let's put the deadline of our decision on Saturday (the 9th of March, one minute before midnight). That should give everyone enough time to react.

Looks like 12-14 April is the winning weekend. I will tell Erik Renes and make an event.

I'm sorry you cannot be there, Wei and Enri. Maybe I can arrange something for the first weekend of May, like going to Leiden again in a smaller group or so. But we'll need a driver then.

Anyway, I feel this is going to become a long lasting tradition. And I'm making connections now in other cities too. There will be a next time for everyone :)

The countdown has begun. We have several things to do.

First, we have to arrange enough couches. Cause of the enthusiasm of the Leiden group, it's possible we need a minimum of 20 couches, preferably with sleeping gear included. If you feel like hosting a Hollander or two, join here:

Secondly, we need a plan. We can start brainstorming here or in one of the many activities. A bar meeting (for example this Wednesday) sounds like an excellent place. Unfortunately, I will have dancing lessons on Wednesday, so not sure whether I will make it.

Maybe we can pin an official brainstorm session one of the next weeks? I will already start the scheming and evil plotting on my own :p

Soooooo, already 14 people from Leiden are coming to Gent and this group will only grow. I'm confident we will have enough couches, but more hosts are welcome anyway.

About the weekend scheme, I heard a couple of ideas and was thinking of this:

Friday night:
Something like a bar meeting after which the group splits up and does some Ghentish night life activity, depending on the hosts and the surfers. For example, Franci and I would be in for some salsa in Club Central and I'm sure I'll find some other interested people. Others might go for a night city tour and some surfers and hosts might want to go to sleep earlier.
I would not make the Friday night too planned and complicated, since it's hard to predict when everyone from the Leiden group will arrive, whether they will arrive all together or in little groups etc. We should wait for everyone to arrive at one certain place (a bar by preference), before we start to move to other places. And since there will be a lot to do on the next days, we better don't make it too late.

Saturday afternoon:
Everyone should be able to have a calm breakfast, to socialize a bit with their surfers or host and I think nobody likes to hurry on a Saturday morning anyway. Therefore, the activities better start around 14h, I think. There should be something like a city tour, where the attendees have enough freedom to do it at the rhythm they like. Again, the group will have to be split up, since 30 people will be too much to handle all together.
We can make it different from the city tour we had in Leiden by making different themes for the different subgroups. That is, the attendees can choose beforehand a theme, which will determine the type of tour they'll make. For example, one of the subgroups can go for the beer city tour made by Herman (if he's available, of course). Some chocolate tour, graffiti tour,... Ben told me that you can ask some graffiti artists for a group lesson, sounds cool. It would be fun to give every subgroup some simple tasks, like making pictures, movies or audio recordings, so everyone can see in the end what they did during the day.

Saturday evening:
Ideally, some dinner event at someone's place with a typical Belgian dish. Waffles? Something with chocolate? Belgian French fries? Nothing too complicated or fancy, since there are a lot of people joining and we will pay all of it ourselves. And Dutch people can eat a lot.
Afterwards, something relaxing. A bar meeting to make our Dutch friends discover some new Belgian beers would not be a bad idea, but I was thinking about something more special. Before really going to a bar and losing ourselves into beer, we can organize a gaming night. Since we have a big group, this can be easily combined with the speed-friending structure. Sunday afternoon:
For those who are into sports: Ultimate Frisbee and Jugger in the park and a bit of chilling afterwards. The other ones can attend an alternative event. Maybe the graffiti lesson fits better here?

Sunday night:
I expect that there will still be some guests of Leiden present in the evening. I can organize some dinner party at my place.

So, what do you think? Any suggestions for alternatives or additions to this scheme?

Update about the events this weekend.

Friday:
20h00: Weekly Bar Meeting
Obviously, the Leiden CS group cannot wait to taste all the exclusive Belgian beers Gent can offer them. That’s why we will leave them a bit longer in temptation by organizing our bar meeting this week in… an Irish pub! Everyone is welcome from 8pm onwards on the first floor of Den Enghel, Graslei 8. Go up the wooden stairs and find us having loads of fun.

The hosts leave the bar and start waiting for the guests to arrive. Before joining the weekly bar meeting again, the hosts have to take care of the luggage and cars from the Leiden group.
