just an little guideline how to organise a stammtisch (in german)

sorry this is in german but it was written at a time where the communication in the austrian cs organisation was in german.
if you want it in english please let me know.

ein beispiel wie mans dann machen kann (bitte einfach posten wenn ihr anderer meinung seid) ist hier aufgelistet:

·Erst sollte geklärt werden ob sich schon jemand gemeldet hat um den jeweiligen stammtisch zu organisieren.
·Wenn er noch frei ist. Kontaktiere jemanden der erfahrung mit stammtischen hat und frag ihn evtl um rat. bitte ihn dich als organiser hinzuzufügen. wichtig: bestimmte kriterien sollten erfüllt sein. siehe andere posts in dieser gruppe.
·Wenn das lokal gewählt ist.
·Im jeweiligen lokal anrufen und reservieren (tu ich immer für 70 im winter kommen meisst mehr als im sommer.)
·Ca 2 wochen vor dem meeting einen couchsearch machen: früher: vienna plus 70 km (das ist wichtig weil ich viele e-mails und persönliche bitten von zb: bratislava leuten habe ihnen auch immer eine einladung zukommen zu lassen) im moment werden nur noch results unter 300 angezeigt. mehr dazu in einem getrennten post.
·Geh zum hauptmeeting (events austria stammtisch :)
·Click auf create a submeeting
·Gib das aktuelle datum ein (zB 9.Januar 2009)
·Alles normal ausfüllen und anklicken,
·Meeting message ausschicken
·Man gehe zum hauptmeeting
·Edit meeting
·Schreib im meeting text was über das aktuelle dazu. und ein datum und evtl einen verweis aufs submeeting.
·Datum des hauptmeeting auf das folgemonat ändern (sonst sind zwei meetings drinn... mim gleichen datum... und das verwirrt nur alle)!!!! Wird gerne vergessen!!!!
·Sobald sich die anderen ambs anmelden: evtl sie auch zu organisatoren machen
·Dann kriegt man viele rückfragen per e-mail, die ich immer rasch versuche zu beantworten und ich führe außerdem eine liste über wie viele leute sich per e-mail gemeldet haben, daß sie kommen
·Und rechne die zu den anmeldungen dazu
·Je nach dem rufe ich noch mal im lokal an.
·Anmerkung: wenn ich die message ausschicke bekomme ich auch immer vermehrt requests zu hosten für die tage um den stammtisch herum.
·Für etwaige fragen stehe ich immer gern zu verfügung

Please disregard the above german instruction as it is outdated. Thank you :)

·First find out if the Stammtisch you would like to organise still has no organiser. If it does - simply get in touch with the person and talk to them. They might swap for another Stammtisch or you could organise it together.

·If you organise a Stammtisch always get in touch with someone who is an experienced organiser. There are certain criteria that have to be met (e.g. venue has to be large enough to hold a certain amount of people at any one time (at the moment about 70, less in summer, staff at location have to be informed (reservation), drinks should be payed right away. No running up tabs as it is way too confusing) There are other criteria that are optional but preferable. Please find out about those too.

·In order to do any of the next steps you have to be made an organiser of the main meeting and the sub-meeting you are organising.

·When you have chosen a pub/bar/restaurant - make the reservation (tell them how many people can be expected, etc)

·Go to the main stammtisch meeting (click events - austria - stammtisch :)

·Go to the sub-meeting

·Add all relevant Information for the sub-meeting

·Only send out one meeting Invitation about a week before the event. For more information on how to send out meeting invitations please see www.http://www.couchsurfing.com/group_read.html?gid=2125&post=1362632#post1375379
Hopefully we will be able to go back to the simpler system soon. (Do relevant couchsearches before you attempt sending out invitations)

·Also post the Invitation in the Bratislava, Brno, Austria and Lower Austria Groups
Maybe include other austrian regional Groups


·Now go to the main meeting

·Click Edit meeting

·There is a bulletpoint for every sub-meeting. Add where it is to take place.

·IMPORTANT: Change Date of main meeting to following month (e.g. if you are organiseing January. Change the main meeting to February. Otherwise we have main and sub meeting taking place at same time and you would be surprised how many people get incredibly confused with that.

·Click save.

·Note. As organiser you will receive a few questions and sign up e-mails. try to answer these asap. also keep in mind that more people show up than sign up.

·Should there be more people than you had originally expected, please call the pub/bar/restaurand and let them know. Anyone would get grumpy if they organise staff for 40 and then have to deal with 110.

·You may also find that you will receive more requests to hostround the time of the party. Please prepare for that or at least be quick responding if you cannot host. Be polite and possibly even help them find a host.

·Please let me know if you have any questions

·Please add to the list if I have forgotten anything.

I will draft a word doc soon.
(And add a section for the criteria the place has to meet.)
The process seems to change quite a bit and it is easier to update a word doc. Also it can be sent to organisers easily.
